Terms and Conditions

1. Introduction

These Terms and Conditions govern your registration for and participation in the Arabian Gulf Christian Medical Forum ("the Forum"). By registering for the Forum, you agree to comply with and be bound by these Terms and Conditions. If you do not agree with any part of these terms, please do not register for or attend the Forum.

2. Eligibility

  • Registration is open to individuals who are 18 years or older and are doctors, dentists, medical or dental students.
  • Attendees must provide accurate and complete information during the registration process.
  • The Forum reserves the right to refuse registration or entry to any individual at its sole discretion.

3. Registration Process

  • Registration must be completed through the official Forum website or designated registration platform.
  • Full payment of the registration fee is required at the time of registration unless otherwise specified.
  • Registration is not confirmed until payment is received and a confirmation email is issued.
  • All registrations are subject to availability, and the Forum reserves the right to limit the number of participants.

4. Registration Fees

  • Registration fees are outlined on the Forum’s official website and are subject to change without prior notice.
  • Fees include access to all scheduled sessions, materials, and events as specified in the Forum program.
  • Additional costs (e.g., travel and other expenses) are not included in the programme) are the responsibility of the attendee.

5. Cancellation Policy

  • Cancellations must be submitted in writing via email to the Forum’s organising committee at [email protected].
  • Cancellations received on or before 5 November 2025 will be eligible for a full refund, minus a $50 administrative fee.
  • Cancellations received between 6-20 November 2025 e.g. 15–29 days prior to the Forum start date, will be eligible for a 50% refund of the registration fee.
  • No refunds will be issued for cancellations received less than 14 days prior to the Forum start date or for no-shows.
  • Substitutions (transferring registration to another individual) may be permitted with prior approval from the organising committee, subject to eligibility verification.

6. Refund Policy

  • Refunds will be processed within 30 days of receiving a valid cancellation request.
  • Refunds will be issued to the original payment method used during registration.
  • No refunds will be issued for partial attendance, missed sessions, or changes to the Forum programme.
  • In the event that the Forum is cancelled by the organisers due to unforeseen circumstances (e.g., force majeure), a full refund of the registration fee will be issued. The Forum is not responsible for any additional costs incurred by attendees (e.g., travel or accommodation expenses).

7. Event Modifications or Cancellation

  • The Forum reserves the right to modify the programme, schedule, speakers, or venue at its discretion without prior notice.
  • In the event of cancellation or postponement of the Forum due to circumstances beyond the organisers’ control (e.g., natural disasters, government restrictions, or other force majeure events), the Forum will notify registered attendees as soon as possible.
  • The Forum is not liable for any costs incurred by attendees as a result of modifications or cancellation, including but not limited to travel or accommodation expenses.

8. Code of Conduct

  • Attendees are expected to behave professionally and respectfully toward other participants, speakers, staff, and organisers.
  • The Forum has a zero-tolerance policy for harassment, discrimination, or disruptive behaviour. Violators may be removed from the event without a refund.
  • Attendees must comply with all applicable local laws and regulations, as well as venue policies.

9. Photography and Recording

  • By attending the Forum, you consent to being photographed, filmed, or recorded during the event, unless you notify the organisers beforehand. These materials may be used for promotional or archival purposes by the Forum organisers.
  • Attendees are prohibited from recording or photographing sessions without prior written consent from the organising committee.

10. Liability

  • The Forum and its organisers are not liable for any personal injury, loss, or damage to personal property incurred during the event.
  • Attendees are responsible for their own safety and belongings during the Forum.

11. Data Protection

  • Personal information provided during registration will be used solely for purposes related to the Forum, including communication, registration confirmation, and event updates.
  • The Forum complies with applicable data protection laws and will not share your personal information with third parties without your consent, except as required by law or for event-related purposes (e.g., venue or catering services).

12. Amendments

  • The Forum reserves the right to update or amend these Terms and Conditions at any time without prior notice. The most current version will be available on the Forum’s official website.
